Offer Analysis at Audi

The challenge

The offer analysis at Audi takes a lot of time and is rather time-consuming: Due to the many documents and constantly changing versions of the offers, it is very difficult to maintain an overview and keep up to date. Communication in the event of changes is also challenging due to the large number of project participants. The designed solution: A tool that acts as a single source of truth for analysing offers. The tool is intended to support the comparison of offers from companies with specifications. Additional AI functions are used to make the comparison process more efficient and support the evaluation of offers. In addition, project information such as project status and project participants can be viewed at any time.

Phase 1

Research

In the research phase, we conducted user interviews to get to know the future users of the two AI applications better. These interviews helped us to understand the needs, pain points and expectations of the users. Based on the findings from the interviews and the requirements of AUDI AG, we developed detailed personas and user stories for the applications. The personas represented typical user profiles, while the user stories depicted specific usage scenarios and user goals. These tools formed the basis for our further design and ensured that our solutions were user-centred and practical.

Phase 2

Designing and Concepting

Our goal in designing the AI offer analysis tool was to create an intuitive and efficient user interface that helps Audi employees compare offers with specifications efficiently and effectively. The design principles we followed include clarity, consistency and ease of use. Key features of the design:

Clear board

A centralised board that provides a quick overview of all projects and their status

Simple navigation

Clear and consistent navigation that allows the user to quickly switch between different areas of the tool

Status wizard

The status of the project and future workflow steps are clear to the user at all times

Simple upload option

The upload of quotation or specification documents is intuitive and effortless

Efficient analysis

A quick and efficient way to automatically compare offers for compliance with the specifications

Phase 3

Usability Testing

In the end we then carried out tests with two users working in areas where the tool could be used in the future. The key outcomes are listed on the right.

These usability tests were crucial to ensure that the offer analysis tool meets the requirements and expectations of the users and offers a high level of user-friendliness. However, future tests should be conducted with actual end users to get a more complete picture of the user experience.
Overall positive rating; the tool is visually appealing and intuitive.
Participants were able to successfully perform basic tasks such as creating a new project and uploading documents
Intuitive navigation through prominent placement of important functions
